Automate processes and improve performance with tailor-made modernization

Founded in 1968, Sable Villeneuve specializes in the extraction, transportation, and sale of granular materials, such as MG-112/CG-14 compaction sand.

Operating three extraction sites, each equipped with a weighing station, it also provides material transportation services with a modern fleet of vehicles.

Its operations are primarily focused on Montreal’s North Shore, with key clients including general contractors, excavation companies, and municipalities.

Since its beginnings, Sable Villeneuve has enjoyed sustained growth and has been able to adapt by integrating the technological innovations needed to ensure its long-term future.

Context

In 2016, Sable Villeneuve relied on various manual processes for its daily operations, such as recording orders on a paper sheet at the dispatcher’s office, communicating with drivers via FM radio, and handling paper-based invoicing. At that time, it took the company five days to complete its weekly invoicing process.

These processes were not only time-consuming but also prone to errors, directly impacting the company’s efficiency and profitability, with significant losses of billable data. The central software Optivrac, developed by an external partner, began to slow down, and its outdated source code made updates increasingly difficult.

In 2018, the acquisition of a new company increased the volume of operations, further revealing the limitations of Optivrac. To remain competitive and maintain quality service, Sable Villeneuve recognized the need for a more powerful solution. In 2024, it therefore undertook the modernization of its core software in order to :

  • Optimizing internal processes: Eliminating the sluggishness caused by the outdated source code.
  • Ensuring software longevity: Modernizing the code to guarantee the system’s long-term viability and performance.
  • Adapting to evolving business needs: Optimizing existing modules to remove outdated processes and better align with current operational requirements.
  • Introducing new functionalities: Integrating new modules to better manage the growing complexity of operations.

The modernization of Optivrac was essential to meet the company’s increasing operational demands and ensure long-term scalability, with the business now generating over 10 million dollars in revenue.

Proposed Solution

To meet Sable Villeneuve’s evolving needs, Openmind Technologies modernized Optivrac using the Legacy Recoding production method. This approach made it possible to :

  • Preserve and optimize the software’s key functionalities, ensuring continuity of operations while rewriting the code to make it more efficient and adaptable to new technologies.
  • Increase the solution’s durability, guaranteeing Sable Villeneuve a solid, reliable tool to support its growth ambitions.

By adopting a phased deployment approach, Openmind was able to integrate new functionalities gradually, thereby :

  • Minimize transition risks by supporting teams in adopting the new tools without interrupting operations.
  • Centralize critical processes such as bid management, truck dispatching and real-time invoicing, now optimized in a modernized, scalable environment.

Ensure software continuity

Thanks to this modernization, Optivrac is now a strategic lever for Sable Villeneuve, supporting its long-term performance and operational efficiency objectives.

The Results

The modernization of Optivrac has brought significant improvements in Sable Villeneuve’s operational efficiency:

  • 80% reduction in invoicing time: from five days to just one, thanks to full data automation.
  • Elimination of paper processes, reducing errors and improving fluidity of operations.
  • Optimization of human resources: Simplified supervision of drivers has enabled resources to be redistributed more strategically, increasing the efficiency of teams in the field.
